Document Capture Systems
A document capture solution, also known as 'The Paperless Office' describes the process of converting large document populations into digital form and providing management tools that facilitate retrieval from an organized database.
The systems are normally described as end-to-end solutions because they involve hardware and software for document imaging (scanning), document capture and indexing, workflow, tracking, storage and retrieval solutions. Often they include OCR (Optical Character Recognition) and conversion tools to repurpose the scanned or imaged documents.
Reliable and Cost Effective
For companies with high volumes of paper-based information, large archival or storage requirements or mission-critical document disaster recovery initiatives a document capture solution offers a reliable cost-effective solution to information management needs. ATLIS offers customized hardware and software solutions for either the single department or an entire enterprise that is designed with individual workflow requirements in mind.
ATLIS provides information capture solutions that deliver accurate, timely and usable data to enterprise systems. This equates to efficiency and flexibility in converting documents into the proper formats usable in back-end systems (including XML, Image Files, and custom transaction formats). Our solutions are developed after careful analysis of document and workflow requirements.
ATLIS develops and incorporates the following components in a document capture database system:
Imaging and capture – ATLIS uses state-of-the-art technology for document imaging and capture. These include high speed scanners and imaging software that provides for rapid capture and error correction. Input documents can include purchase orders, invoices, reports, handwritten correspondence, personnel records, forms, word processing documents or even photographs that can be easily scanned in batches or individually.
Indexing and annotation – documents can be indexed with unique identifiers for easy retrieval - all in one folder. ATLIS's solutions also support a folder, sub-folder, and document level indexing structure (similar to using a file cabinet), and indexing can be profiled specifically to the user's needs.
Storage and retrieval – ATLIS's solutions allows users to manage and store documents in a hierarchical filing system, which emulates the familiar office environment of folders, sub-folders, documents and pages. Documents can be added, moved from folder to folder, modified, or deleted, depending on the user's security levels. Based on user set criteria, documents stored on-line, on optical disk, or on other storage medium, are readily retrieved in a fraction of the time required by manual paper systems. Folders can be viewed simultaneously and in real-time by multiple users across the local area network or within a multiple site enterprise.
